How to complete Design Records

Design records define the approved product requirements. For supplier-designed product, they are your released drawings and specifications. For customer-designed product, include the customer-authorized record required by the submission request.

Complete the fields

Record identification
List the part number, part name, drawing or specification number, revision, release date, and customer name. Every supporting result must point to this same revision.
Characteristic callouts
Identify every measurable product characteristic. Use the customer drawing symbols, notes, datum scheme, material specifications, and approved engineering requirements exactly as issued.
Balloon or numbered drawing
Where dimensional results are required, give each measured characteristic a unique identifier. The identifier must match the dimensional-results report; do not change drawing requirements by ballooning them.
Authorization status
State the released revision and retain evidence of any authorized deviation or engineering change. A quotation drawing or uncontrolled PDF is not a PPAP design record.

Step-by-step completion sequence

  1. Obtain the current controlled design record and confirm the PPAP part number, revision, and applicability.
  2. Review notes, specifications, material callouts, critical or special-characteristic symbols, and referenced documents.
  3. Create a legible numbered copy only when it is needed to connect characteristics to results.
  4. Cross-check every numbered characteristic against the dimensional-results report and relevant material or performance test.
  5. Include authorized changes and retain the controlled source record.
PPAP control point: The customer’s current submission request, customer-specific requirements, and approved forms control. This guide explains a practical way to prepare the record; it does not authorize a substitute format or acceptance criterion.
